As a small company we wear a variety of hats and this role should love hats too. Hats like Account Management and Project Management along with some office administration for good measure.

This role is the primary point of contact for new and existing clients and the one that reminds them along the various steps of Production, that we are taking care of their every need.

You may have experience in a field other than video production, but you will have a proven ability to work under pressure and prioritize. As project manager you are responsible for tracking all aspects of the project and keeping leadership up-to-date on progress. Creative problem solving is a key component to this position, as well as patience and a positive attitude is critical.

Some Requirements

  • B.A./B.S four-year degree and two to three years related experience and/or training OR equivalent combination of education and experience.
  • Some experience in video production
  • Ability to work at coffee shops, home, shoot locations, basically… anywhere (it’s not that we don’t have any room for you in our office, it’s that we don’t have one… yet).
  • Positive personality every day and in every situation (we like smiles and high fives)
  • Sense of humor not required (that’s a joke)
  • High attention to detail
  • Proficient in iOS, MacOS, Numbers, Pages, Keynote, and Google Drive
  • Calm under pressure with a sense of urgency in everything you do
  • Fast learner
  • Excellent communication skills, capable of concisely communicating clearly with candor and kindness… and alliteration
  • Professionalism through proper spelling and grammar are a must
  • Ability to work occasional early mornings, nights, and weekends (video production timing can be unpredictable)
  • Ability to lift up to 35 lbs occasionally 

Responsibility. What’s that?

  • Client Management
    • Managing the Uptop team in development of project treatments, which includes assisting in
      • Project descriptions
      • Mood boards
      • Price estimates
    • Serving as primary contact point for new and existing clients via phone, email and general correspondence
    • Updating our CRM tool (HubSpot) throughout process
    • Delivering contracts to clients
    • Preparing and sending invoices
    • Managing individual project budgets
    • Working with Insurance providers to provide proof of insurance to clients as needed
    • Expressing the client’s interests to the production team
    • Sending Final Approval Forms and Project Completion Packets
  • Project Management
    • Booking Cast, Crew, and Locations
      • Negotiating rates
      • Gathering auditions/headshots/resumes/demo reels for cast
      • Gathering invoices, contracts, and tax forms (W9s)
      • Working with Insurance providers to provide proof of insurance to locations
      • Processing payments
    • Preparing call sheets
      • Gathering all necessary contact info for Crew/Cast/Locations
      • Sending and confirming receipt from Crew/Cast
    • Managing Pre-production Process
      • Send Pre-production forms to clients
      • Providing updates to leadership
      • Owning Projects Success
    • Managing Post Production Schedule
      • Keeping employees and contractors on pace to complete projects on time
      • Providing updates to leadership
      • Owning Projects Success
  • Administrative
    • Assist with personal administration duties
    • Scheduling of meetings and presentations, managing calendars, and travel itinerary 
    • Assist Accountant with end of year W9 collection
    • Mail pickup/delivery (PO Box), FedEx/UPS/Courier Shipments
    • Depositing client payments
